Corporate Diwali gift delivery: a practical shipping checklist for 2026

Start with the receiving deadline and a complete recipient list, then confirm packed dimensions, actual weight, contents and documents. Diwali is on Sunday, 8 November 2026. Plan for office closures and request a route-specific quotation before treating collection or delivery as confirmed.
Work backwards from the receiving window
The useful deadline is the time somebody can receive the gift, not simply the date of Diwali. A business may close before the festival, a reception desk may operate for fewer hours, or an event team may need its kits before setup begins. Ask each destination for its last working receiving window and an authorised contact.
There is no reliable nationwide last-booking date for every corporate gift. Airline capacity, cargo cut-offs, pickup distance, contents and destination handling vary. Share the required date early and ask PORTADOR to confirm a feasible service for the specific shipment.
Separate a single-office shipment from individual deliveries
Twenty hampers sent together to one office are a different requirement from twenty hampers going to twenty home addresses. Keep each address, PIN code, recipient contact, carton count and required receiving window associated with the correct consignment. A single freight quotation should not be assumed to include a multi-address distribution programme.
If part of a recipient list is still changing, identify the confirmed priority consignments first. Tell the team which gifts are replacements or especially time-sensitive. Share personal contact lists only through the agreed booking channel, not in a public comment or social post.

Measure the shipping carton, not the presentation box
A decorative gift box usually needs an outer carton and cushioning. Measure the finished package at its longest outside dimensions and weigh it after packing. Large, lightweight hampers can be charged by their volumetric weight rather than their scale weight.
PORTADOR’s calculator uses length × breadth × height in centimetres ÷ 5,000. For example, a carton measuring 40 × 30 × 25 cm has a volumetric weight of 6 kg. If it weighs 4 kg, its chargeable weight as a single-box shipment is 6 kg. For multiple boxes, enter each box type and quantity; compare the shipment’s total actual and total volumetric weights. The higher total is the estimate, subject to measurement verification.
Do not combine boxes with different measurements into one identical-box row. A box count is not a substitute for the measurements needed to calculate volume. Use the linked calculator before requesting a quote.
Declare the contents of every hamper
“Corporate gift” describes the purpose, not what is inside. Share an itemised contents list and declared value. Perfumes, aerosols, liquids, battery-powered devices and other regulated goods may need special documentation, packing or a different service. Air cargo acceptance must be checked before dispatch.
Food gifts also need discussion: packaging, shelf life, leakage risk and temperature requirements can affect suitability. Do not assume ordinary air cargo provides temperature-controlled transport. Do not include undeclared fireworks, flammable items or other restricted contents. IATA’s dangerous-goods guidance explains why the contents must be classified and reviewed.
Protect presentation without hiding the shipment details
Use a strong outer carton, cushion fragile items and prevent internal movement. Keep labels visible and readable on the outer packaging. A decorative ribbon or gift sleeve should not be the only protection for a shipment travelling through multiple handling points.
Before sealing, reconcile the contents list against the gifts in the carton. Keep packing photographs for your own records where useful and confirm applicable insurance or risk-cover terms with the team; a declared value alone should not be treated as proof of cover.
